Move Money

Move Money is the record of every payment your organization makes: bills, one-off payments, transfers between your own accounts and on/off ramps, from the first draft to the final result. Use it to see what’s waiting on someone, finish drafts, and find any payment you’ve made.

It’s in the sidebar as Move Money, with the pages that create payments below it: Bill Pay, Quick Pay, Internal Transfers, Recurring Payments and On/Off Ramp. The page is described as Every movement, from every app, in every state. What needs you on top, drafts below it, history last. The number beside Move Money in the sidebar counts payments waiting for approval.

Every payment goes through the same steps: it’s drafted, approved by the people your approval policy requires, then executed. Move Money shows every payment at every step in one list, so you can:

  • See what’s stuck and what it’s waiting for.
  • Finish drafts you or your team have started.
  • Check the record of who approved, signed and executed a payment, for audits and board questions.
  • Export your payment history to a CSV file for accounting.
  1. A payment starts as a draft, from Bill Pay, Quick Pay, Internal Transfers or a recurring schedule. Nobody has been asked to approve it yet.
  2. Someone submits it for approval. Usually that happens on the form itself, with Submit for approval. A draft saved for later is submitted from here. Nobody picks its approval policy: where the money goes and how much it is decide that. See Approval & Execution.
  3. Approvers authorize it until every approval it needs is in. A payment that needs no approval skips this step.
  4. The money moves. From a Safe, someone proposes the transaction, the Safe’s owners sign it, and someone executes it. From an account Mezzanine doesn’t send from, someone pays it there and marks it executed.
  5. It lands in History as Complete, Rejected or Failed.

Approvers and signers can also do steps 3 and 4 from Requires Action, which lists only what’s waiting on them. See Approve, sign and send a payment.

At the top (or in the right-hand panel on a wide screen, when no payment is open):

You see What it counts
Requires action The US dollar value of payments being approved or executed, with how many are moving and how many are waiting on a signature
Drafts Drafts not yet sent for approval
Settled Payments that are complete, rejected or failed

The tabs above the list narrow it to one step:

Tab What it holds
Everything Every payment, grouped as Requires Action, Drafts, then History
Requires Action Payments being approved or executed (waiting on a signature, or being executed)
Drafts Payments written, not yet sent for approval
History Payments that finished: complete, rejected, failed

Each payment’s Status shows where it is:

Status What it means What to do
Draft Saved but not submitted. Nobody has been asked to approve it Open it and click Submit for approval
Needs Approval Collecting approvals. Circles show how many of the approvals it needs are in Approvers open it and click Authorize
Being Executed Approved. The money hasn’t moved yet Open it to see the next step, such as Propose, Sign, Execute or Mark executed
Complete The money moved Nothing
Returned A Universal Account payment that went out and came back Check the destination details, then create a new payment if it should still go out
Rejected Someone rejected it, or its Safe transaction was cancelled Create a new payment if it should still go out
Failed The transaction failed, or someone marked it failed Open it to read what happened, then create a new payment if needed
  • Search reads the recipient, accounts, asset, description, category, invoice number, who created it and which app made it. Paste at least 8 characters of a payment’s id to find it by id.
  • Filters: click the funnel on a column heading to filter by date, recipient, amount, paying account (From), app or status. Clear removes every filter and the search.
  • The date column is Due on Requires Action and Drafts, and Settled on History. Drafts and payments in progress are listed by due date, soonest first; History lists the most recently finished first.

Click a row to open the payment on the right. You see its amount, who it’s to and from, how it will be executed, its documents and flags, and the Process so far. What you can do depends on its step:

  • A draft: Submit for approval opens a window titled Publish payment?, reading Publishing submits this draft for approval. Click Publish to send it. The button is greyed out until the draft is complete, with Missing … listing what to fill in. Edit details opens the draft’s form. Reject discards it: A rejected payment can’t be approved afterwards.
  • Being approved: Authorize if you’re one of the approvers it still needs, or Reject. Rejecting is final.
  • Being executed: the next step’s button, such as Propose, Sign, Execute or Mark executed. See Approve, sign and send a payment.
  • Any time: Add flag leaves a note for reviewers, Add document attaches a file, and More actions (…) → Share copies a link to the payment.
  • Send back to edit, under More actions, returns a payment to Drafts while it’s being approved, or before its Safe transaction is proposed: Editing moves this payment back to Drafts, and every required approver must approve it again.
  • Replay, on a completed payment, adds a new draft for the same amount and counterparty.

Actions, at the top right, has:

  • Pay a Bill, Quick Pay, Initiate Internal Transfer and Recurring Payments, to go to those pages.
  • Kanban view / Table view. Kanban shows every payment as a card in DRAFT, APPROVAL, EXECUTION and COMPLETED columns. Your choice is remembered in this browser.
  • Export History, which downloads your payment history as a CSV file.
  • Move Money Settings, where you manage the payment categories and status tags people choose from.
  • Approval & Execution Engine, which opens Approval & Execution.
  • The amount decides the approvals. When a payment is submitted, its value in US dollars picks a tier of your approval policy, and that tier decides how many approvals it needs and from whom. Editing the amount can move it to another tier.
  • Only the people a payment’s tier names can authorize it. For anyone else Authorize is greyed out.
  • The list holds up to 200 payments in each of Drafts, being approved and being executed, and up to 5,000 in History. For older payments, use Export History, which includes up to 10,000.
  • Kanban’s COMPLETED column shows the 25 most recent finished payments.
  • Once a Safe transaction is proposed, you can’t edit, reject or send back the payment. The outcome on-chain decides it.
  • On a phone, the page shows the Kanban board.
  • Nothing yet? With no accounts, the page reads No money moving yet and offers ways to add one. With accounts but no payments, it reads No payments yet and offers Pay a Bill and Quick Pay.

The Approve Payments app must be installed from the App Library.
